JOB SUMMARY
The candidate will be part of the Abbotsford Youth Health Centre (AYHC) team, working in a very busy youth friendly environment afternoons/evenings, as well as be the receptionist for Foundry. AYHC sees a high number of patients each clinic and is a collaborative community initiative. AYHC delivers primary care to patients between 12 and 24 years old. The candidate is required to perform all MOA duties including client interaction, use of EMR, booking referrals, MSP billing and specimen processing. The MOA will be the first person a Foundry client interacts with. They must have the exceptional, non-judgemental interpersonal skills to work with a diverse population of youth and young adults. It is important youth and young people know they have walked through the right door and come to the right place.
Responsibilities
- Welcomes youth and families to Foundry and contributes to a positive, welcoming atmosphere in the waiting area.
- Registers and triages patients, including completing intake package and mental health questionnaire, and setting up new patients with the Foundry toolbox system.
- Responds to phone calls, faxes, voicemails, and emails answering questions, processing requests, and providing information in a timely and supportive manner.
- Takes and distributes messages to the appropriate practitioner, and returns patient’s calls in a timely manner.
- Answers patient and client questions and calls directing them to the appropriate service.
- Ensures all patient demographics are up to date whenever they register to see a practitioner.
- Ensures that highlighted tasks on patient charts assigned to MOA at registration are completed.
- Checks on all MOA tasks daily.
- Ensures patient flow during clinics.
- Keeps referrals and their status up to date.
- Notifies patients about specialist or imaging appointments and return clinic visits.
- Assists clients with scheduling, rescheduling, or cancelling appointments.
- Processes incoming and outgoing mail and other documents including scanning, uploading, sending, and assigning documents to their correct destination.
- Assists with "Runner" duties, including pregnancy tests, urine dips when needed.
- Ensures all specimens are labelled and that their requisitions are properly filled out.
- Maintains and tidies the Reception and waiting areas, and maintains, tidies and stocks exam rooms.
- Keeps an inventory of what needs to be ordered, and completes orders as needed.
- Prepares and submits MSP billing and sessional invoices as requested.
- Provides resources and information about Foundry and AYHC.
- Ensures office equipment is in good working order and stocked with supplies such as paper, toner, and ink.
- Types and copies reports and other documents as needed.
- Completes daily opening and closing tasks including unlocking and opening clinic, listening to all phone messages and locking clinic at the end of the day .
- Participates in team meetings and required trainings.
- Participates in supervision receiving coaching and feedback from the supervisor and participating in performance reviews.
- Represents the agency, Foundry, and AYHC in the community in a professional and knowledgeable manner.
Requirements and qualifications
Education and Certification:
- Medical Office Assistant Certificate
- Satisfactory Criminal Records Check is a condition of employment.
Experience:
- Experience working in a clinic environment
- Experience with preliminary lab testing done in the office
- Experience working with youth is an asset
Knowledge and Skill Set
- Strong verbal, written, and active listening skills; able to communicate effectively and respectfully with people from a variety of backgrounds and experiences.
- Excellent organizational, prioritization, time and general management skills
- Knowledge of the MSP billing process and medical office software.
- Proficient use of EMR
- Strong computer competency, able to use Microsoft Office365.
- Able to work well both independently and as part of a team
- Familiar with office machines including photocopiers, printers, and fax machines
- Familiar with IntraHealth Profile
- Proven ability to work effectively in a high patient volume environment
- Interest and ability to work with youth and contribute to a youth friendly environment
WORKING CONDITIONS
- This position may experience frequent interruptions, a well-developed ability to switch tasks is needed. This position may involve interacting with people in difficult situations, and with complex clients with diverse needs.
- Must be able to work with a high volume of clients.
- This position works a variable schedule that requires flexible availability including evenings.
- Must be able to adapt quickly to changing conditions within the clinic
- As per the current Public Health Orders (Long Term Care/Seniors Assisted Living Provincial Health Order and the Health Sector Order), as of October 26, 2021, all employees working for Foundry Abbotsford must be fully vaccinated against COVID-19. Proof of vaccination status will be required
