Job Description

SpringLaw Professional Corporation is an innovative Canadian law firm looking for an Administrative Assistant to join its growing team. We are looking for someone incredibly organized and detailed, who can support our Operations Team (Managing Partner, Operations Manager, Finance Manager and Paralegal Team) with a variety of administrative tasks. Given the diversity of clients and variety of jurisdictions in which we work, we are seeking a global-minded person with global work experience to share with our team.
The following are the duties and responsibilities:

1. Schedule and confirm appointments.
2. Maintain a filing system for emails, attachments and electronic documents.

3.  Set up, create and populate digital folders and email labels.

4. Support Finance Manager to complete closing tasks related to billing, statutes of limitations, closing surveys and follow-up reminders.
5. Assist lawyers, paralegals and Operations Team with day to day administrative tasks such as recording and preparing letters, minutes of meetings and conferences.
6. Determine and establish office procedures and routines.
7. Open and distribute regular and electronic mail and other material and coordinate the flow of information.
8. Prepare and key in correspondence and legal documents.

9.  Review and proofread documents and correspondences to ensure compliance with legal procedures.

Salary: $22 per hour
Permanent, Full-time, 40 hours/week
Working Hours: 9:00AM – 5:00PM

Languages: English and French (Bilingual)
Education: College/CEGEP
Experience with employment law is an asset but not mandatory if possesses strong transferable skills from other industries outside of law.
Personal Suitability: Accurate, client focus, dependability, efficient interpersonal skills, excellent oral communication, excellent written communication, organized, reliability, team player, tech savvy, flexible, people-oriented, self-directed and can work independently.

Areas of Work experience: Charts, tables and diagrams, contracts, correspondences, financial statements, invoices, manuscripts, publications or theses, reports and records, statistics

Computer and Technology Knowledge: Microsoft publisher, PC law in the Cloud, MS Word, Electronic mail, MS Access, MS Excel, MS Outlook, MS Powerpoint, MS Windows, Google platform, Microsoft Suite, Adobe, Google Suite

Security and Safety: Criminal Record Check
Work Conditions and physical capabilities: Fast-paced environment, work under pressure, tight deadlines, attention to detail
